How to convert a scanned PDF to editable Word text

Use OCR to recognize a scanned PDF, then export its selectable text into a DOCX document with DocVelto.

Steps at a glance

  1. Run OCR with the correct language and Searchable PDF output.
  2. Load the resulting PDF into PDF to Word.
  3. Open the DOCX and check recognized text against the source scan.

Why a scan needs an extra step

A page can look like text while containing only a photograph or scan. A normal text export has no characters to read from that image. OCR recognizes letter shapes and adds a text layer or produces a plain text file. Recognition is an estimate, so names, numbers and punctuation need review.

Recognize the scanned pages

Open OCR PDF, choose English, French, Arabic or an available combination, and select “Searchable PDF.” Use the page range to limit the job to the pages you need. DocVelto supports up to 10 selected pages per OCR operation and renders them at 300 DPI for recognition.

Export the recognized text

Download the searchable PDF, then open PDF to Word and select it. The DOCX output contains editable text. It does not reconstruct the exact page layout, columns, illustrations or font positioning. For a visual presentation of the original pages, PDF to PowerPoint instead places page images on slides.

Improve the source and check the result

Straight, clear scans usually work better than tilted, faint or blurred ones. Deskew scans can correct small tilts, but it also rasterizes pages, so use it before OCR when necessary. Read the recognized text against the original scan before relying on it. Both conversion steps use the server after consent; each page lists its input and processing limits.
